In 2027, Xero Classic Expenses will be retired, marking the end of an era for this popular expense management tool

Classic Expenses has been available since Xero's early days, but the company introduced its newer Xero Expenses product in 2018. Both systems have continued to operate alongside each other since then, giving long-standing users plenty of time to adapt.

That period of dual support is now coming to an end!

The retirement will happen in two stages. From the 11th of January 2027, users will no longer be able to create new Classic Expense claims. Then, a month later, existing claims can no longer be edited, approved or deleted.

The good news is that historical information will not disappear. Following the retirement, Xero Classic Expenses will become view-only, with existing records remaining available to access and export in accordance with Xero's data retention policies.

However, businesses currently using the feature do have some housekeeping to do. Before the 11th of February 2027, any draft Classic Expense claims should be submitted, and outstanding claims should either be approved or declined. Businesses will also need to decide how they intend to manage expenses once the old system is retired.

One option is Xero Expenses, the company's
current expense management product!

This supports submitting, approving and reimbursing expenses, including through the Xero Me app. Depending on the Xero subscription and the number of people actively using Expenses each month, there may be additional costs involved.

For businesses with relatively few expense claims, Xero Files could provide a simpler alternative for storing receipts and supporting documents. It is included with Xero subscriptions, although it is important to remember that it is a document storage feature rather than a complete expense management system.

There are also third-party expense applications that integrate with Xero for businesses requiring different functionality.

February might sound a comfortable distance away, but this is exactly the sort of accounting change that is easier to deal with before it becomes urgent. If you currently use Classic Expenses, now is a good opportunity to plan to change.

Check your setup, clear any outstanding claims and decide which approach will work best for your business going forward.
