They could have used the capabilities in Sage and Xero so that got me thinking ... how many other businesses are doing the same? Are you producing delivery notes or purchase orders (or a host of other documents) using Microsoft Excel, or even Word?

There really isn't any point in re-keying data twice, is there? You already have it in your accounts package so it would be far easier to just push a button and see the document printed than having to re-key it into Excel or Word. This is why you need to set up your templates correctly.
There are templates for every type of document you need to produce from your accounts package. Templates do take time to put together to your liking, and I appreciate that as a busy business owner, you may not have the time to explore these capabilities and play around with these sorts of things.

How would you like to place an order with a supplier then automatically have Sage or Xero produce both a purchase order for the supplier and delivery note for your customer?
