Bookkeeping For Garages Using Sage

Recently, I have been helping a local garage to improve their use of their Sage 50 bookkeeping software ...

They use a bespoke system called GSLite to manage their customers, send reminders for servicing and MOTs and raise invoices for their clients. They use Sage 50 for the rest of their bookkeeping and accounts and VAT returns.

"But they had never worked out how to link the two together!"

In effect, they were keying in all their invoices twice, which of course means it takes more time and there is a larger scope for making mistakes. They were also waiting until the invoices were paid before entering them on the accounts system which meant the accounts figures would always be out of date so they couldn't run management reports to keep a proper eye on their profitability.

I was able to work with my client, who was new to the bookkeeping role, to get a good organised system in place in order to move from the manual system to being able to export all customers from GSLite, including the invoices and payments, in an organised way to prevent the need for double entry in the future. It's not a perfect situation having to download the data into a CSV file then import to Sage50, but it's certainly better than typing everything twice.
